From scattered tools to one platform: Occasion Interiors’ digital transformation

See how Occasion Interiors, a Dubai based Design & Build fitout contractor for retail and F&B, moved from Excel, Zoho, and WhatsApp to one connected platform. This case study walks through their before and after across BOQ, quotation, procurement, scheduling, and daily reporting, plus how every request is now traced from raise to receipt across 9+ repeat client groups in 5 emirates.

Company Overview

Occasion Interiors FZ LLC is a Dubai based Design & Build fitout contractor. The team takes a space from concept and design through construction, joinery, MEP, and finishing, handing over a store, restaurant, or workplace ready to open. Occasion builds across retail, F&B, workplace, and specialty formats, from supermarkets and hypermarkets to restaurants, cloud kitchens, offices, showrooms, gyms, and clinics, with fitouts running 30 to 150 days and flagship projects valued at AED 1M to 1.45M. The business is built on repeat clients: retail and F&B groups including KP Group, Hashim Group, Mall Mart, Panoor, Shaklan, and Golden Tasty that come back outlet after outlet across all five emirates.

The Challenge

Occasion ran estimation on Excel and quoting on Zoho, two teams on two tools with no link between them, so every scope change had to be re-keyed by hand and reconciled under time pressure, and the quote drifted out of sync with the BOQ behind it. Procurement had no chain at all: purchase requests came in over WhatsApp with no form and no approval trail, purchase orders were raised separately in Zoho, and deliveries were confirmed back on WhatsApp with no link to the PO and no check on quantity, so no one could say whether a request had been ordered, whether it had arrived, or whether it was on site. With scope, procurement, and site progress sitting on different platforms, a delay stayed invisible upstream until it hit site, by which point it had already pushed every trade that followed and the mitigation window had closed. Site reporting depended on someone remembering to message, so clients had no reliable view of their own project.

The Solution

RDash gave Occasion one connected platform from site survey to handover. Reusable trade libraries, Joinery, MEP, Paint, Civil, Tile, and Drywall, turned BOQ creation into a pick list of approved items, and that approved BOQ converts to an Occasion branded client quotation in a click, with no re-keying. Procurement runs as a single chain: requests are raised and approved in RDash, the LPO auto-generates from the approved request, and site confirms receipt against it from the mobile app, every step timestamped. Each project carries a full activity schedule with a named owner on every task and a live Gantt comparing planned against projected end. Daily progress reports, with photos and percentage complete, are logged per site and shared with the client, Occasion branded, straight from live project data.

The Results

Occasion moved from fragmented tools and manual follow-ups to one tracked lifecycle where every phase carries its owner, its timeline, and its status. Scope changes no longer need reconciling across a gap, deliveries can no longer arrive unrecorded, and a slip surfaces in the schedule before it reaches site instead of after. Clients see the same branded progress report the team does, and that transparency is why groups keep coming back, store after store.
